Cancellation & Refund Policy
At ICETREK, we aim to provide flexible, fair, and transparent terms for all travelers. Our cancellation policy is designed to cover direct costs while offering peace of mind.
By booking directly with us via our website, email, or phone, you agree to the terms below. ICETREK ehf is Iceland based tour operator and operates under the brand name of ICETREK and Highlands of Iceland. This policy is valdi for tours operated and sold under the those brand names.
1. Northern Lights & Day Tours
Cancel 24+ hours before departure → ✅ Full refund
Cancel less than 24 hours before → ❌ No refund
Optional: If canceled 48+ hours in advance, you may request a 100% travel credit instead of a refund, valid for 18 months.
2. Multi-Day Tours (Open or Fixed Departures)
Cancel 12+ weeks before departure → 80% refund (20% non-refundable)
Cancel 6–12 weeks before → 70% refund (30% non-refundable)
Cancel less than 6 weeks before → ❌ No refund
✅ You may request a travel credit instead of a refund when canceling 6+ weeks before departure.
3. Group & Custom Tours
For private groups or custom itineraries, the following terms apply:
At booking → 20% deposit (non-refundable)
12 weeks before departure → 30% of total tour price becomes non-refundable
6 weeks before departure → 50% of total is non-refundable
Less than 6 weeks → ❌ No refund
Custom group cancellation terms may be adjusted by contract on a case-by-case basis.
4. If ICETREK Cancels Your Tour
We reserve the right to cancel a tour due to:
a) Insufficient Bookings
If the minimum number of participants is not met, we may cancel the tour. In this case, you will receive:
✅ A full refund, or
🔁 The option to reschedule or join another tour of equal value (subject to availability)
b) Force Majeure or Safety Concerns
In the event of:
Severe weather
Natural disasters
Road closures or unsafe conditions
Other unforeseen events beyond our control
We will offer:
✅ A full refund, or
🔁 The option to rebook on another date or receive a travel credit
We always prioritize safety and will notify you as early as possible.
5. Bookings via Resellers or Travel Agencies
If you booked your tour through a third-party platform, travel agent, or reseller:
All cancellations and refund requests must be handled directly with your original point of purchase
ICETREK is not responsible for the cancellation terms, refund policies, or timelines of third-party resellers

6. How to Cancel
To cancel a direct booking, please:
📧 Send your cancellation request in writing to icetrek@icetrek.is
Provide your name, booking reference, tour name, and date
You will receive a confirmation email once your cancellation is processed
⏳ Refunds are processed to the original payment method and may take up to 10 business days
7. Travel Insurance Recommended
We strongly recommend that all travelers purchase comprehensive travel insurance covering:
Cancellations
Delays
Medical emergencies
Missed departures due to weather
